Rehearsal scheduling for musicians — without the back-and-forth.
SyncSessions eliminates the friction of scheduling band rehearsals. It reads every musician's calendar availability, computes a shared free/busy grid, and shows the session leader a color-coded heat map of the best windows to meet — all synced in real time through iCloud.
Available for iPhone, iPad, and Mac.
- Availability heat map — See at a glance when everyone is free. Each 30-minute block is color-coded from deep green (all available) to dark gray (nobody is free).
- Individual color overlays — View each musician's schedule in their own color, overlaid on the grid so you can see exactly who is conflicted.
- Real-time sync — Changes appear instantly across every device in the group via iCloud. When a musician updates their calendar, the grid updates live.
- Calendar privacy — Only free/busy blocks are shared. Event titles, descriptions, attendees, and any other calendar detail stay completely private.
- Session confirmation — Once a time slot is chosen, the leader locks it in with studio name and address. All musicians are notified immediately.
- AI scheduling suggestions — On-device AI (Apple Foundation Models) suggests the best available windows and summarizes conflicts — privately, offline, and free.
- Call musicians directly — Tap any musician in a conflict to call them without leaving the app.
- Contacts integration — Looks up phone numbers from your contacts. Nothing is uploaded or stored.
- The session leader creates a group and invites musicians via iCloud share link.
- Each musician accepts the invite — SyncSessions reads their calendar (free/busy only) and uploads their availability to the shared session.
- The heat map updates in real time as musicians' availability is received.
- The leader taps the best slot, confirms the session, and everyone is notified.

SyncSessions operates no backend infrastructure. All data is stored in Apple iCloud (CloudKit), which is governed by Apple's Privacy Policy.
SyncSessions requests read access to your calendar to compute free/busy availability. Only time blocks (free or busy) are extracted and shared with your group — never event titles, notes, attendees, or any other detail. Calendar data is processed on-device.
SyncSessions requests read access to your contacts solely to look up phone numbers so you can call musicians without leaving the app. Contact data is never uploaded, stored, transmitted, or shared in any form.
Scheduling suggestions and conflict summaries use Apple's Foundation Models framework, which runs entirely on your device. No data is sent to any server for AI processing.
SyncSessions uses Sign in with Apple for authentication. No passwords are created or stored by SyncSessions.
SyncSessions is not directed at children under 13 and does not knowingly collect personal information from children.
SyncSessions is designed around privacy by default:
- No custom servers. All data is stored exclusively in Apple iCloud (CloudKit). SyncSessions does not operate any backend infrastructure.
- Calendar privacy. Only free/busy time blocks are shared with your group — never event titles, descriptions, attendees, or any other calendar detail.
- On-device AI. Scheduling suggestions use Apple's on-device Foundation Models framework. No data leaves your device for AI processing.
- Read-only contacts. SyncSessions reads your contacts only to look up phone numbers for calling musicians. Contact data is never uploaded, stored, or shared.
Because SyncSessions stores all data in Apple iCloud, your SyncSessions data is part of your Apple ID account. Apple provides tools to view and delete your iCloud data:
- Delete your SyncSessions iCloud data: Visit privacy.apple.com and sign in with your Apple ID to request deletion of your iCloud data, which includes all SyncSessions records.
- Delete your Apple ID entirely: Visit appleid.apple.com to permanently delete your Apple ID and all associated data across all Apple services.
